The Requirement

As the tax filing deadline approaches, CPAs often face challenges in organizing documents from individuals and other CPA firms. These documents come in through various channels, such as emails, file transfers, and other means, making it difficult to download, sort them by client or firm, and centralize them before starting their work. There were usability issues in the workflow and the scanned data.

To address this issue, the CPAs utilized a tool that enabled clients and firms to upload documents for filing returns. No other methods of file submission were allowed. The tool also offers real-time status updates as the tax return process advances.

Our Approach

We started by thoroughly understanding the existing design and workflows from start to finish. We gained insight into how CPAs operate and how this tool could save them time and make their work easier.

Following that, we conducted extensive market research and competitor analysis. We then brainstormed the new workflow and created wire frames that simplified the entire document submission process, breaking down the steps to streamline both document submission and the process of filing returns.

Designed to file returns

This tool is designed for use by CPAs and their clients, including taxpayers and other CPA entities, who will use it to file their returns.

Simplifying the User Interface (UI):

The UI was overly complex, making navigation difficult for clients and causing confusion about where to upload documents. There was no visual aid to map text while creating the template and this affected the data extraction process.

Bringing in efficiency

The tool lacked support for multiple file formats and bulk uploads, which slowed down the process and hindered document submission. Manual sorting and categorisation of documents, along with difficulty in searching and filtering, made the workflow time-consuming. We addressed these areas to make it simple and easy for the user.

Addressing Security and Privacy Concerns

Insufficient data encryption and access controls, as well as non-compliance with regulations, raise the risk of legal issues and loss of client trust.

Introducing Real-Time Progress Tracking

The tool did not show the progress of the tax filing process in real time, leaving clients unaware of whether their documents had been received and what was happening.

The outcome

We proposed a novel approach that was simple and less cumbersome. This enhanced the user experience, with users finding it easy to use and navigate through. It also improved efficiency with support for multiple file formats, bulk uploads, and automatic categorisation of uploaded documents. It was a minimalist, intuitive and user-friendly tool that eased the tax filing process, ultimately leading to higher productivity and satisfaction for CPAs and their clients.
